What Steps To Take During A Company Relocation?

It isn’t always easy moving forward with a company relocation. If you’re considering a company relocation, there are some steps that you need to take first to be successful. These steps begin before the moving process starts and continue until you reach the end and the business has been fully transferred to its new location.

1. Establish The Relocation Timeline

Once you’ve made the decision that you’re going to be relocating the office, you need to make a plan for the relocation services. This means notifying and helping the staff to first get prepared. They need to know when they need to have their office spaces packed and have the right tools so that the equipment is packed securely during the move.

2. Prepare For The New Location

Once the new location has been decided on and you have the lease, you need to get in there and start getting the new space prepped and ready for your employees. This means going through the area and outlining where the different offices will be. You will need to start painting, sooner rather than later, so you aren’t trying to do that during the move. Also, any flooring or other renovations that need to be done should be scheduled and completed before you move the office.

3. Alert Your Current Landlord

After signing the new lease on the property, you need to let your landlord know that you’ll not be renewing your existing lease and when you plan to be out of the space. This is a courtesy so that they know when you’re planning to move and make sure you have enough time to get things done. If you’ve had a great relationship with your landlord, they may be flexible to rent out month-to-month if you find your company needing a little extra time later on.

4. Update Your Website And Social Media Profiles

The next thing you need to do following your move becoming official and letting your staff know is to let your customer base know that you’ll have a new location soon. You need to post this information on both your website and your social media pages, with the new location and the date the move is official. As you get closer, you can upload videos to your social media account to show off the new location so customers see it coming together.

Update Business Documents

In addition to letting your customers know, you should also notify the US Post Office so any mail you get will be transferred to the new address on the date that the new address is official. Also, the IRS will need to have this information on file. As it gets closer to your move, complete the IRS Form 8822-B and submit it with the new information.

5. Hire A Moving Team

When moving day comes around and everything has been packed and organized, you need a professional moving company to get into the office and start moving out the furniture and items to the new location. You’ll want to close business operations for a few days to have the move completed and then unpacked so you’re ready for service. It’s a good idea to do this towards the end of the week, so if you need an extra weekend day, you have it for these relocation services.

6. Unpack Your New Office

Once the office furniture and equipment have been moved to the new location, it’s time to unpack and get the office set up so you can get back to business. Before anyone starts unpacking their boxes of items, the furniture needs to be set up first, so they can start filing drawers and cabinets with documents and any other items needed to complete their job.

While relocating services and the overall process may seem overwhelming at first, as long as you follow strict steps and keep all the moving parts going, the relocation can be smooth. Make sure to stay ahead of each step so that you can meet your deadline. If any unforeseen circumstances develop, work those into the timeline and make adjustments as needed to keep the relocation on schedule.
